Phone Case RFQ Template: How to Get Comparable Quotes from Manufacturers

30 October, 2026 Product Knowledge Admin
Phone case options, material swatches, packaging and specification references arranged for an RFQ
Specify the case, material, color and packaging together so quotations refer to the same requirement.

Use this phone case RFQ template to request comparable quotations from manufacturers and suppliers. Give each one the same product reference, model/color quantities, custom options, inspection requirements and shipping terms. “500 phone cases with a logo” leaves too many open specifications to compare prices reliably.

Use the short inquiry outline below, separate quantities by model and color, and write TBC — to be confirmed wherever a detail is unknown. Ask suppliers to state assumptions separately rather than silently filling the gaps.

Kejie can check your chosen product and the custom changes you need. See the six inquiry points, or ask Kejie about the product options if you need help defining it.

Published custom-printing product reference. Specify the exact phone variant, artwork and quantity in your RFQ.

What belongs in a phone case RFQ?

Required means “give an answer,” not “know everything already.” A required field can say TBC. An unresolved field must remain an assumption or open question in the quotation; it is not permission to substitute a specification.

Required for every request

  • Product reference: exact product URL, reference image or drawing.
  • Device and construction: full phone model, material layers and required functions.
  • Quantities by product: model, color or code, quantity in pieces, artwork file version and packaging variant.
  • Branding and packaging: state None, stock, custom or TBC; separate case printing from packaging printing.
  • Inspection: fit, appearance, functions, packing and label requirements; approved-sample status and open pass/fail rules.
  • Quote details: contact person, destination country/city/postcode, currency and what the price should include.

Conditional or optional

Conditional: if branding or custom packaging is selected, add artwork, print component and position, size, color reference, pack dimensions, model labels, barcode source and inserts.

Optional at first inquiry: RFQ reference, target budget, alternative quantities and preferred arrival date. State a firm date if delivery is a constraint. Add specific reports or market requirements when relevant.

Keep one row per variant. If a logo, artwork or packaging version changes, create a separate row even when the phone model and color stay the same.

Minimum quantities may apply differently to stock, phone models, colors, logo work and packaging. Use the published low-MOQ wholesale guide to frame those questions; do not assume one minimum covers every line.

A simple RFQ: six details to share with Kejie

Use these points when contacting us. Short answers are enough to start; write TBC for anything you have not decided.

1. Product & phone model
Product link or reference image; exact phone model.
2. Material & features
Preferred construction and any required magnetic, stand or wallet function.
3. Colors & quantities
Pieces needed for each phone model and color.
4. Logo & packaging
No customization, a case logo, printed artwork or branded packaging; TBC is fine.
5. Quality & sample needs
Any essential fit, appearance, function or label checks; whether you need a sample.
6. Destination & timing
Country and delivery postcode if known; target arrival date if important.

Not sure about the details? Send your product reference, phone models, estimated quantity and destination. Ask Kejie to identify the remaining information needed for a comparable quote.

Ask Kejie for a quote

A filled RFQ example: enough detail to ask useful questions

Fictional example for illustration only. This is not a customer order, quotation, confirmed MOQ or availability statement. The quantities and requirements below are invented to demonstrate the template.

Example project: a small branded retail product range. Product reference: the Kejie custom polka-dot TPU + PC case. Requested material: TPU + PC. Ask whether the exact phone model and color are available.

Fictional SKU breakdown — quantities are requested, not accepted
Line Phone model Requested color Quantity
01 iPhone 17 Pro Black; exact finish TBC 120 pcs
02 iPhone 17 Pro Blue; exact finish TBC 80 pcs
Total Same artwork and pack request for both lines 200 pcs
Logo and packaging
No additional case logo requested. Request a branded packaging insert, artwork file version EXAMPLE-A. Stock OPP bag is the starting reference; insert size, print method, model labels, cost and minimum quantity remain TBC.
Inspection and sample
Check fit, buttons, camera clearance, surface appearance and SKU labels against an approved sample. Sample not yet approved. Ask for a proposed inspection scope and defect rules; no sampling standard has been assumed.
Destination and timing
Hamburg, Germany; delivery postcode TBC. Currency requested: USD. Trade term, named place and freight basis TBC. Ask for sample timing, revision timing, bulk-production start conditions and a separate shipping estimate. No delivery deadline is committed.
Requested supplier response
Confirm each requested model/color and any minimums. Quote unit costs, insert printing, setup/sample fees and freight separately. If 120/80 pieces cannot be accepted as requested, identify the affected row and offer an alternative quantity with revised costs.

The useful result is a reply that names its assumptions. “Price for 200 pieces” alone still leaves the variant split, packaging and approval conditions unresolved.

How to compare phone case manufacturer quotations

Three quotation scopes: case units, preparation work and delivery
01: price per case for each product. 02: any sample, artwork or setup fees. 03: shipping services and excluded charges. Ask what each quote includes.

Send every supplier the same version of your quote request. Show alternatives in separate columns or separate quotes. A lower unit price may exclude artwork, packaging, inspection or freight that another quote includes.

On mobile, scroll each comparison table sideways; the font remains readable.

Normalize the scope before comparing totals
Comparison item Ask the supplier to state Resolve before approval
Product and quantity Exact material, structure, model/color rows and accepted quantities. Every substitution, mixed-model rule and MOQ condition.
Recurring vs one-time cost Unit price by row; separate artwork, sample, tooling or setup charges where applicable. What repeats on a reorder, what is optional and what is excluded.
Logo and packaging Which part will be printed, artwork file version, packaging type, labels/barcodes and included insert cards. Who supplies files, which sample is approved and any separate minimums.
Checks and Pass/Fail Rules What to check, the sample to compare against, how much to inspect and how defects will be handled. Unagreed criteria; do not assume an AQL or test standard from the word “QC.”
Timing and delivery Sample and bulk-order lead times and when each starts; estimated shipping time, destination and included shipping services. Which approvals or file changes are needed before work starts, payment terms, quote expiry date and excluded charges.

Ask for an initial estimate with stated assumptions if details are still TBC. Request a revised quote after specifications are agreed. Compare the same currency, quantities, product version and included costs. Keep stock-product estimates separate from fully customized quotes.

Send a phone case RFQ with clear quotation requirements

  1. Select the starting product. Use the pictured printable case or browse TPU + PC cases. The product reference helps identify structure; it does not approve a new model, color or artwork.
  2. Describe your requirements. State quantities by phone model and color, then add any logo, packaging or quality requirements you already know. For a selected product, ask Kejie about that exact case and your changes.
  3. Ask for a Clear Breakdown. Ask what can be confirmed now, which items need a sample and what remains TBC. For a wider design or private-label project, review Kejie’s OEM/ODM services and list the custom changes you want.
